Dunmore Medical Practice is a busy General Practice located in High Street Dunmore, County Galway.
Our team includes three doctors, two nurses, and four administrative staff, including a practice manager.

Job Overview:

We are currently seeking an experienced Medical Administrator to join our well established, experienced, efficient and dedicated administrative team.

The successful candidate will provide essential administrative and reception support to both staff and patients.

As the first point of contact, they will play a key role in delivering excellent patient care while ensuring smooth daily operations.

Duties and Responsibilities

Key duties include:

· Greeting patients and visitors in a professional and welcoming manner

· Ensuring all patients are handled efficiently and professionally

· Maintaining the waiting room and monitoring patient waiting times

· Answering incoming phone calls and actioning calls as appropriate

· Scheduling patient appointments

· Managing incoming post and scanning for attention of appropriate doctor

· Organising and actioning e-mails

· Managing billing, payments, receipts, and end-of-day cash reconciliation

· Dealing with patient queries including requests for prescriptions, social welfare certificates, letters and forms

· Procurement of administrative supplies and stocking the practice rooms as needed

· Supporting clinical staff with administrative tasks, such as writing letters, recording notes, filing, and typing up reports

· Ensuring patient care and safety are always prioritised

· Any other duties as assigned by the line manager or practice manager

Skill Requirements:

This role requires:

· Personal integrity, honesty and reliability

· A discreet and confidential manner with a professional attitude

· Possess awareness and sensitivity towards patient needs

· Diligence and thoroughness with clear follow-through on tasks

· The ability to work collaboratively as part of a team

· Excellent interpersonal, verbal, and written communication skills

· Strong organisational and time management skills

· The ability to multitask in a busy environment

· Ability to use initiative and be proactive

· Flexible attitude to changing work practices

· Proficiency in IT, including Word, Excel, and Outlook

· Proficiency in English

· Experience in an administration, reception or customer service, ideally in a medical setting or other faced paced environment, is essential

Position Details:

· Job Type: Permanent, 30-37.5 hours per week (ideally 37.5 hours per week)

· Pay: €14 - €16 per hour (depending on level of experience)

· Pension: Company pension available

· Working Hours: Monday to Friday, 9:00 AM to 5:30 PM

· Work Location: On-site and in person at Dunmore Medical Practice

· Commencement: Interviews will be held in early January for a commencement date in early February
